Gather some of your club colleagues and attend this year’s Studentidrottsforum for an energizing weekend filled with fun activities, rewarding conversations, new perspectives and many memories. Studentidrottsforum is a valued and rewarding event – both personally and in the role as club leader. Who are the fortunate ones from your association to attend?

Special offer – Make participation more accessible!

SAIF wants to make sure that as many representatives as possible can take part in the weekend—without financial barriers getting in the way. That’s why we’re temporarily offering a reduced participation fee. With this offer, you pay only SEK 1,500 per person, which includes:

  • 🛏️ Accommodation for 2 nights
  • 🍽️ Meals during the official program
  • 🎟️ Admission to an exciting live sports experience
  • 🤸 Participation in the sports session with HSIF

Individuals must be registered by October 26, 2025 at 11:59 PM the latest and be present during Studentidrottsforum 2025.

🚗 Besides a reduced participation fee, your association can also apply for a travel grant per person (for round trip).

📝The association will apply for the reduced participation fee and the travel grant together by sending an email, containing receipt or similarly to prove travel costs. See the full conditions below.

 

The conditions to be eligible

 

  • If the association has missed previous reporting or received a repayment demand that has not been resolved, it will not be eligible for project grant to participate in the Studentidrottsforum 2025, in accordance with the standard rules for project grant and hence pay the full participation fee.
    • Unsure about your association’s status? Contact Maja Andersson at andersson@saif.se.
  • Grant is only provided for
    • the individuals who were correctly registered (before October 26, 2025 at 11:59 PM the latest),
    • participated in the event and,
    • for the predetermined items (see Financial Framework below).

The payment is administered after the event.

  • Project grant must be actively appliedfor – it is not automatically paid out.
  • To apply, the association must send an email to info@saif.seno later than Sunday, November 30, 2025 at 11:59 PM, including potential financial documentation (receipts or invoice copies) related to travel.
    • If no travel was undertaken, a simple email requesting support is sufficient.
  • The grant will be paid to the bank account registered for your association in IdrottOnline.
    • Do remember that you are still responsible for paying all invoices received. The project support is paid retroactively.

 

  • No report (sv: återrapport) in IdrottOnline is required for this specific grant you receive. However all participants must complete the event evaluation.

 

💰Financial Framework

  • A maximum of 4 representatives per association can participate.
  • The exact sum to receive will be calculated after participation, based on:
    • where your association is based (for the travel grant) and
    • number of people participating (for participation fee).
  • The items and sums that the project grant can cover are:
    • 1 500SEK/person of the actual 3 000SEK in participation fee.
    • The possible travel grant is calculated depending on where the association is domiciled (SV: hemvist/säte). See the maximal grant you can apply for depending on your district below:

 If you don’t know which district of RF-SISU distrikt you belong to, you can look up your association on the webpage of RF ”Hitta inom Idrottsrörelsen” or check the profile of the association on Idrottonline!

 

  • If the travels cost less than the maximal sum, the cost of the actual sum of the travel will be reimbursed, in accordance with the submitted receipts.
  • If your association drove a car to the event, the travel grant will be calculated in accordance with SAIF’s mileage reimbursement.

Registration Terms for Studentidrottsforum 2025

Registration is personal – you can only register one person at a time. If you want to register more participants, please fill out a separate form for each person.

 

The participation fee is 3,000 SEK and will be invoiced after the event.

 

– To access the discounted participation fee of 1,500 SEK, mentioned on SAIF’s website and in communication, you must meet the conditions listed on the next page (also listed at https://studentidrott.se/event/studentidrottsforum-2025-november/)

 

The discounted participation fee cannot be used to cover/reduce any costs incurred due to changes, late cancellations, or no-shows (see table below).

Until October 19, 2025 at 23:59 Free cancellation and changes without any charge.
October 20 – November 20, 2025 at 23:59 Changes cost 50 SEK per profiled charge.
October 20 – October 31, 2025 at 23:59 Cancellation charged at 50% of the full participation fee.
November 1 – November 20, 2025 at 23:59 Cancellation charged at 75% of the full participation fee.
November 21–23, 2025 (event days) No-show will be charged 100% of the full participation fee.

Accommodation

🏨The cost of hotel room is included in the participation fee and we will be staying in 2-bed rooms at the Grand hotel Halmstad, just by the train station of Halmstad. If you wish to stay in a single-bedroom, state it in the registration and note that the cost for that is 500SEK extra per person and there is no extra grant for this.

Travel to/from Halmstad

🚂By train:
The hotel is located just by the station.

🛬By flight:
Bus number 4 will take you from the airport – download the app ”Hallandstrafiken” (or visit their webpage: Hallandstrafiken – Buss och tåg i Halland). Get of at the stop “Halmstad Resecenter”, from where it’s a 10-minutes walk to the hotel.

🚗By car:
The hotel itself does not provide any parking spots but there are a few parking areas quite near:

  • Next to the train station, where you administrate and pay via the app Parkster.
  • On the short side of the hotell, somewhat more expensive than the first-mentioned big parking area by the station. This one is also administrated via Parkster.

Should you arrive by car and have trouble finding a spot, ask the hotel (by phone or ask a friend to talk to the reception) for advice.

What to pack and what is provided for

✨In every hotel room, you can find shampoo, conditioner and towels to borrow.

 

👚Clothing-wise:

  • The sport session with HSIF will be indoors so indoor sporting shoes are good to bring.
  • For the national game that we will attend, it would be awesome if you have and could wear any type of Swedish fan gears (e.g. shirts, scarfs, hats), or simply just dress in Swedish colors – we want to showcase that University sport is in the arena.
  • If your association has representational clothing (like a branded hoodie or pull-over), feel free to wear that! We will take pictures and videos during the weekend so that way you’ll be able to show of your association with your merch! As for clothing otherwise, there will be no official gala-dinner like previous year – since we are going to a major sport event, dinner on Friday and having the sport session with HSIF – so no need to pack fancy clothing. It’s important that you are comfortable in what you wear.
  • Since we will be walking round in Halmstad (minimally from/to the hotel and Halmstad university, unless you yourself buy bus tickets), comfortable shoes could be nice to have.
  • On the note of occasionally being outdoors – The event is in November, so the likelihood of rain is higher—something worth keeping in mind.

Languages

💬As a part of making this event as inclusive and accessible as possible, we will be working with two languages – Swedish and English.

Information beforehand will be available in English and we’ll try to include Swedish versions. During the event, the main parts will most likely be held in English. We will all help each other to translate throughout the event.

Of course, in smaller groups and if everyone’s comfortable with Swedish, you do as you please.
